Position Summary

An EA typically provides administrative support to the MD. Major duties include scheduling meetings, managing email and correspondence, making travel arrangements, maintaining records and files, help with presentations and reports and act as a liaison between the MD and other departments or external contacts.

Major Roles And Responsibilities (Job Details)

Job Description

Schedule Management:
Scheduling appointments, meetings, and maintaining calendars notifying the concerned persons about the same.
Ensure proper setup of meeting room and also for associated events such as lunches, dinner or snacks

Guest Service:
Handle visitors courteously and ensure proper deliverance of good customer service.
Arrange necessary gifts as requested by President for various occasions like Birthdays, Anniversaries etc.

Travel Management:
Coordinating for travel & VISA arrangements, including flights, hotels, and transportation.

Reporting and Data:
Preparing and formatting data reports and other documents.
Supporting executives and other team members with various tasks as needed.
Managing Company contracts, including organizing and filing in an easily accessible manner. This will involve reviewing and summarizing key points of contracts and making necessary amendments with legal teams before having it signed by President

Information Management and Filing:
Manage President’s expenses and reimburse expenses from the company. Reconcile monthly statement to keep track of expense.
Manage medicine expense of President and his Family.

Organization:
Creating and maintain a system for storing and organizing physical and digital files, such as documents, memos, presentation etc.
Ensure availability of office supplies, documents filing and cleanliness of the President’s room.
Safely maintain all company related documents to ensure that confidential papers are not left in the for access to anyone.

Communication Management:
Answering phone calls, handle the messages and mails by reviewing, sorting and informing the President for appropriate response.
Coordinating with concerned department for signature on cheques and various documents.

 

Minimum Competencies Required for the position:

  • Strong working knowledge of MS Office and scheduling software.
  • Excellent administration, organizational and secretarial skill.
  • Excellent organizational skill and strong communication in both English and Nepali.
  • Ability to prioritize tasks effectively.
  • Adaptability and Flexibility.
  • Nepali writing is a must.
  • Understanding of the requirements and implications of working for the President of a company.
